Terms of Service
Last updated 5 November 2026
These terms are a contract between ArtemisTech LTD, trading as MeaningFuel ("MeaningFuel", "we", "us"), and the organisation that holds a MeaningFuel subscription ("you"). ArtemisTech LTD is registered in England and Wales under company number 13761124, with its registered office at 1st Floor, Gallery Court, 28 Arcadia Avenue, London, N3 2FG.
The agreement is made of these terms, the data processing addendum (the "DPA") and your subscription as you choose it in the service. Where these terms and the DPA differ on personal data, the DPA applies. Our privacy notice describes how personal data is handled. Questions go to support@meaningfuel.io, and anything about personal data to privacy@meaningfuel.io.
1. Accepting these terms
You accept these terms by registering, by clicking an option that says you agree, or by using the service after being given notice of them, whichever happens first.
The person who accepts confirms that they are at least 18 and have authority to bind the organisation they name, and must register with a work email address at that organisation's domain. We may check the domain against the organisation named, and may refuse or close an account that does not match. The subscription belongs to the organisation, not to the person who opened it.
The service is for organisations, for use in their work. It is not offered to consumers, and you confirm that you are acting in the course of business.
2. The service
MeaningFuel provides a daily insight delivered by email or chat to the people you enrol, modules (short written courses booked onto a team) and aggregate reporting and analytics, through meaningfuel.io (together, the "service").
Support is by email at support@meaningfuel.io.
3. Accounts
The service is run through named accounts: an account owner, who holds the subscription, and delegates, team leads and individuals. Accounts are for work email addresses only; personal mailboxes are refused.
We may treat instructions from a signed-in account owner or delegate as yours, and from a team lead as yours for their teams. You are responsible for keeping credentials confidential, for everything done under your accounts, and for telling us promptly at support@meaningfuel.io of any unauthorised access.
4. The people you enrol
You decide who receives the daily insight, and you promise that:
- they are your own workforce, or others with a direct working relationship with you who would reasonably expect workplace communication from you;
- you have told them about the service and have a lawful basis for giving us their details, as the DPA requires;
- you will not enrol addresses bought, rented or harvested from any list, or send to the general public;
- you will decide and answer each request to stop that reaches you, in the time the law gives you, and will not re-enrol anyone whose emails have stopped unless they ask;
- you will not obstruct a vote to stop, try to find out who cast one, or penalise anyone for it.
Every address you enrol or invite, by any route, and any distribution list, must be at the email domain your account was registered with. If applicable, ask us at support@meaningfuel.io to authorise another domain you use.
The daily insight is workplace communication sent on your instruction, not direct marketing by us. Pressing Unsubscribe records a vote. For a person enrolled at their own email address, by directory sync or by hand, it also stops that topic for them; from a distribution list it changes only the count. Anything further is yours to decide as controller, and we act on your decision.
5. Your data
Everything you and your people put into the service is yours ("customer data"). You grant us the licence we need to host, process and display it to provide and secure the service, to meet our legal obligations and as the DPA allows.
You must not put special category data into the service, or use free text to name, describe or allege anything about a person's conduct. The service holds no complaint, grievance or investigation and must not be used for one. We may remove such material.
We do not use customer data to train any machine-learning or generative model, and we do not send it to any provider of such models. We may use aggregated or de-identified statistics that cannot identify you or anyone else to operate, improve and describe the service. The reporting the service computes belongs to us; you may keep reports you export for your internal purposes after the agreement ends.
You are responsible for the lawfulness and accuracy of customer data and for your use of the reporting. Engagement figures are signals about a group, not measurements of any person. You must not use them as the sole basis for a decision with a legal or similarly significant effect on an individual, and every decision you take about a person is yours alone.
6. Our content
The service's software, design, trade marks and content belong to us or our licensors. While your subscription runs, you and your people may use the content within your organisation as the service delivers it, including forwarding a day's insight internally. You may not otherwise copy, scrape, republish, resell or use it to build a competing product or corpus, except that a portrait shared under a Creative Commons licence, as the picture credits page shows, may be used as that licence allows.
Quotations are quoted material. We research attributions in good faith and correct them when the record improves, but we do not warrant them. Portraits are illustrations, most of them drawn or generated by image models; none is warranted to be a likeness, and you must not present one as a photograph of the person. If a portrait raises a copyright or other issue that we cannot fix and we are asked to remove it, we may also remove the quotations attributed to that person. Some content is drafted with the help of language models and may contain errors, which we correct when told. No name in the service implies endorsement, affiliation or certification.
If you send us feedback, you grant us a perpetual, irrevocable, royalty-free licence to use it.
7. Not advice
The service is general workplace education, built to strengthen workplace culture. It is not medical, psychological, legal, financial or other professional advice, a survey instrument, a diagnostic tool, a clinical intervention, or statutory training where your law names one. Nothing in it says you have complied with any law. Results depend on how the service is used and on things outside our control, so while research strongly supports the approach, an improvement in culture cannot be guaranteed. Your policies, your complaint procedure and your decisions remain yours.
8. Acceptable use
You must not, and must not let anyone using your accounts:
- use the service to break the law, or to harass, defame or discriminate against anyone;
- probe, disrupt or overload the service, or get around its access controls, tenancy boundaries or plan limits;
- try to identify an individual from pooled reporting, or use any figure the service produces to single out, pressure or discipline anyone;
- enter a complaint, an allegation or a description of a named person's conduct;
- reverse engineer the service, except where the law says we cannot forbid it, introduce malicious code, or run robots or scrapers against it;
- present its outputs as a certified assessment or proof of compliance with any law, or publish benchmarks of it without our written consent;
- resell it or make it available to anyone outside your organisation.
9. Connected services
Slack, Microsoft Teams, sign-in with Google or Microsoft, a directory sync and anything else you connect are governed by your contract with that provider. You confirm you may connect them, and we are not responsible for what they do. Treat a webhook URL or a provisioning token as a credential. If a provider changes or withdraws something the service depends on, we may have to change or end the affected feature.
10. Fees
Prices are in pounds sterling by headcount band, as published at meaningfuel.io and shown when you subscribe, and exclude VAT and other taxes, which you pay in addition. Your plan must cover the number of people enrolled. On Enterprise the price is the monthly price shown at setup for the headcount you state, which you must keep at or above the number enrolled by telling us at support@meaningfuel.io; the website's estimate is not an offer.
Payment is taken through Stripe. You authorise recurring charges for each billing period at the then-current price of your plan. The card you give at setup is charged when the trial ends, and the subscription then renews automatically for periods of the same length until cancelled.
If a charge fails, the card is retried for about two weeks; if that fails, sending stops until the card is updated, and we may suspend the rest of the service after notice. Overdue amounts may bear interest at the statutory rate for late payment of commercial debts in England and Wales.
We may change prices with at least 30 days notice, taking effect at your next renewal. If you do not accept a change, cancel before then. Promotional and founding rates apply on the conditions stated when they are offered.
11. Trial
A new subscription starts with a free trial, currently 14 days from the first daily insight. The trial covers the daily insight; modules start with the first payment. Starting to pay during a trial ends it that day, and the first period is charged then. A trial is provided as-is, and either of us may end it at any time. If it ends without a paid subscription, sending stops, and we may delete the subscription's customer data 90 days later, or sooner if you ask.
12. Suspension
We may suspend some or all of the service, with notice where practicable, if an amount is overdue, there is a security risk, the law requires it, or there is abuse or an apparent breach of section 4 or section 8, including spam complaints or bounce rates that suggest one. We will lift a suspension promptly once its cause is resolved. A suspension does not extend a billing period.
13. Term, cancellation and termination
The agreement runs until your subscription is cancelled or the agreement is terminated.
You may cancel at any time from the billing page or by writing to support@meaningfuel.io. Cancellation takes effect at the end of the billing period you have paid for: the service continues until then, nothing more is charged, and the remainder of that period is not refunded. If you cancel during the trial, the subscription ends with the trial and nothing is charged.
Either of us may terminate if the other materially breaches the agreement and does not cure the breach within 30 days of written notice, or immediately if the other becomes insolvent or the breach cannot be cured. We may also terminate immediately if you break the promises in section 4 in a way that harms recipients or the deliverability of the service.
Fees already paid are not refunded unless these terms say so or the law requires it. If you terminate for our uncured material breach, we refund the fees for the period after termination.
When the agreement ends, access ends. If you ask within 30 days we will give you an export of your customer data in a machine-readable format, and we then delete it as the DPA describes. Any clause that by its nature should survive, including sections 5 to 7 and 14 to 22, survives.
14. Confidentiality
Each of us will use the other's confidential information only for this agreement, protect it with reasonable care, and disclose it only to people who need it and owe confidentiality, or where the law compels it. This lasts for five years after the agreement ends, and for trade secrets for as long as they remain so.
15. Data protection
Each of us will comply with the data protection law that applies to it. For the workforce data you provide and the records the service builds on it, you are the controller and we are your processor, on the terms of the DPA. For account, billing, website and correspondence records we are a controller, as the privacy notice describes.
16. Publicity
We may name your company and show your logo in customer lists. If you ask us not to at support@meaningfuel.io, we will stop within 30 days. Anything more needs your written consent.
17. Warranties
We warrant that the service will be provided with reasonable skill and care and will perform materially as section 2 describes. If it does not, tell us and we will fix it; if we cannot within 30 days you may terminate the affected subscription and receive a refund of prepaid fees for the period after termination. This is your remedy for breach of this warranty.
Otherwise the service is provided as available. We do not warrant that it will be uninterrupted or error-free, that attributions, portraits or other content are free of error, that any description of a law is current or complete, or that a particular result will follow. All other terms implied by law are excluded as far as the law allows.
You warrant that the promises in section 4 are and will remain true, that what you tell us is accurate, and that your use of the service complies with the laws that apply to you, including any duty to involve employee representatives or a works council.
18. Indemnities
You will defend us against, and cover our losses from, any third-party claim, including one by your people or a regulator, arising from your breach of section 4 or section 8, from customer data you had no right to provide, from reliance on the service as legal advice or statutory training, or from any decision you took about a person, whatever information from the service you took into account.
We will defend you against, and cover your losses from, any third-party claim that the service, used as this agreement allows, infringes that party's intellectual property rights. This does not cover claims arising from customer data, from combining the service with anything we did not supply, or from continued use after we offered a non-infringing alternative. We may secure the rights, change the affected part, or end it and refund prepaid fees for the period after termination. This is your only remedy for infringement by the service.
Both indemnities depend on prompt written notice of the claim, reasonable cooperation, and the indemnifying party controlling the defence and settlement, with no settlement that admits fault for, or binds, the other without its consent.
19. Liability
Nothing in this agreement excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow to be excluded or limited.
Subject to that, neither of us is liable for loss of profits, revenue, goodwill, anticipated savings or business opportunity, or for any indirect or consequential loss, even if advised of its possibility. Each party's total aggregate liability arising out of or in connection with this agreement, whether in contract, tort (including negligence), under statute or otherwise, and including under the DPA and the indemnities in section 18, is capped at the fees you paid for the service in the 12 months before the event giving rise to the claim, or £100 if you have paid nothing. The cap applies once across all claims together. Nothing in this section reduces your obligation to pay fees.
You must tell us of any issue immediately on becoming aware of it. Neither of us may bring a claim more than three months after it became aware, or ought reasonably to have become aware, of the events giving rise to it. This does not apply to fees you owe us, or to anything the first paragraph of this section says cannot be excluded or limited.
20. Changes
We may change the service, these terms and the DPA. We will give at least 30 days notice of a change that materially reduces the service or materially changes these terms, by email to account owners or in the service, unless the law requires a change sooner. If you do not accept a change, cancel before it takes effect; using the service after that accepts it. Features marked beta, preview or early access are provided as-is and are not covered by section 17. The current terms are always at meaningfuel.io/terms.
21. General
- Notices. Formal notices to us go to support@meaningfuel.io. Formal notices to you go to your account owners' email addresses and are treated as received one working day after sending. Routine messages may be given in the service.
- Entire agreement. This agreement replaces every earlier discussion, and neither of us has relied on anything not set out in it. This does not limit liability for fraud.
- Assignment and subcontracting. You may not assign this agreement without our written consent, which we will not unreasonably withhold. We may assign it to an affiliate or on a merger or sale, and will tell you. We may subcontract, including to the subprocessors in the DPA, and remain responsible for what we subcontract.
- Sanctions. Each of us confirms that it is not subject to, or owned or controlled by anyone subject to, sanctions, and will not use the service in breach of sanctions or export control law.
- Force majeure. Neither of us is liable for failure or delay caused by events beyond its reasonable control. If an event lasts more than 60 days, either of us may terminate the affected subscription and we will refund prepaid fees for the period after termination.
- Severability and waiver. If a clause is unenforceable, the rest stands. Not enforcing a clause does not waive it.
- Relationship and third parties. We are independent contractors, and no one other than you and us may enforce this agreement.
- Language and record. This agreement is made in English. We do not file a copy for you, so save these pages when you accept them; we will send you the version you accepted if you ask. As neither of us is a consumer, regulation 9(1) and (2) of the Electronic Commerce (EC Directive) Regulations 2002 do not apply.
22. Governing law and disputes
This agreement and any dispute arising out of or in connection with it, including non-contractual disputes, are governed by the law of England and Wales, whose courts have exclusive jurisdiction. Before starting proceedings each of us will try in good faith for 30 days to resolve the dispute between senior representatives, but either of us may seek urgent injunctive relief in any competent court.
